How Much Does Event Check-in Cost? Real Prices by Attendee Count

Professional check-in for a one-day event costs from about €1,097 for 300 attendees to €6,647 for 5,000, with equipment prepared remotely and shipped to the venue. A 1,000-person conference comes to €1,859, or €1.86 per attendee. Adding an on-site technician raises that to €2,363.

The badge decision moves the price more than anything else, because it changes both the consumables and how fast each attendee clears the desk.

Logistics is priced by zone: shipping and collecting the kit within Portugal, across the EU, or further afield.

Number of days and your queue target

Where these prices move

The table above prices one standard event, booked on its own. Most events are not that, and the number changes when they are not:

• More than one event. A series, a roadshow or an annual programme reuses planning, configuration and kit. The second event never costs what the first one did.
• Equipment you already have. If there are tablets, scanners or printers on site, or your venue supplies them, the hardware line comes out.
• Dates and lead time. A date outside the peak of the conference season, booked with room to plan, is not priced like the same event booked in a hurry.
• Scale past this table. Above 5,000 attendees the cost per attendee keeps falling, and the plan stops being a table row.
• Anything unusual. Several venues, accreditation rules, on-site registration desks, an integration we have not met before — those are quoted, not listed.
